How to Request and Record a Quote Using a Product Code

A product code can narrow a conversation to one item, but it does not identify the color, size, version, quantity, currency or what the quoted amount includes.

Why a product code is useful—and still incomplete

Codes are more precise than a broad product name, especially when titles vary. But a code may be reused by different uploaders, written incorrectly, or refer to a family with several options. Treat it as one identity field, not the complete identity.

Build the item record before requesting a number

  • Saved page URL and date accessed
  • Visible product code, copied as text
  • Plain-language item description
  • Color, size, version, material or set contents
  • Requested quantity and allowed mix
  • Relevant reference image or screenshot
  • The exact unknown: price, MOQ, availability, timing, QC or shipping

Use a reliable quote sequence

  1. Send the saved URL and code.
  2. Name the selected option and quantity.
  3. Ask the recipient to confirm that the code matches the item.
  4. Request unit price, currency and price basis.
  5. Ask what is included and excluded.
  6. Record the reply date and any validity period.

If the code and item do not match

Do not choose whichever version seems more attractive. Send both references back and ask which item the code identifies. If the ambiguity remains, keep the row unresolved or remove it from the shortlist. A quote attached to the wrong item is worse than a blank price because it looks complete.

When to request a fresh quote

Ask again when the quantity, option mix, packaging, destination, route or time period changes. A historical quote remains useful as a dated observation, but it is not evidence of current price or availability.

Move each answer to the right place

Clarify quantity terms with the MOQ guide. If the response includes photos, use the QC guide. If it includes freight, move the number into the shipping quote comparison instead of merging it into the item price.

A matching code is not the final check

Even a perfect code match says nothing about the seller, current stock, price, or quote validity. Keep the code match as one line in your notes, then review the page and reply on their own merits.
